About the Role

20four7VA is seeking a highly organized and proactive Administrative Coordinator (Virtual Assistant) to support a Business Partner/Project Manager within a growing design-build contracting company.

This role is critical in ensuring seamless day-to-day operations, maintaining structured workflows, and enhancing communication across projects. The ideal candidate thrives in a fast-paced environment, takes initiative, and can manage tasks with minimal supervision.

Key Responsibilities

Calendar & Schedule Management

  • Manage and maintain executive calendars, ensuring all meetings, tasks, and follow-ups are scheduled
  • Organize timelines and enforce structured scheduling practices

Email & Communication Management

  • Monitor, organize, and respond to emails on behalf of the Business Partner
  • Maintain professional communication with clients and stakeholders
  • Flag urgent issues and provide timely updates

Administrative Support

  • Perform clerical and operational tasks to support daily business functions
  • Maintain and update internal documents, records, and project data

Systems & Tools Management

  • Manage and update systems such as Go High Level, Job Trend, and Google Chat
  • Ensure all data is accurate, organized, and up to date

Project Coordination Support

  • Provide administrative assistance for ongoing projects
  • Track progress and follow up on pending tasks to ensure timely completion

Requirements

Skills & Competencies

  • Strong organizational and time management skills
  • Excellent written and spoken English (client-facing experience preferred)
  • High attention to detail and problem-solving ability
  • Ability to work independently and take ownership of tasks

Technical Skills

  • Proficiency in Google Workspace (Docs, Sheets, Calendar)
  • Experience with or ability to learn: Go High Level, Job Trend, Google Chat
  • Familiarity with project/task management tools

Work Ethic

  • Results-driven and proactive mindset
  • Strong sense of accountability and structure
  • Ability to multitask and prioritize effectively

Work Schedule

  • 20 hours per week
  • Monday to Friday
  • Must overlap with Hawaii Standard Time (HST) working hours
