About the Role
BruntWork is seeking a detail-oriented and highly organized Customer Operations & CRM Specialist to support a fast-paced print and production business. This role is critical to ensuring seamless customer interactions, accurate CRM management, and efficient invoicing processes.
You will serve as the primary point of contact for customer communications, managing inquiries from initial contact through to resolution while maintaining high service standards and operational efficiency.
Key Responsibilities
Customer Communication & Inbox Management
- Manage and respond to incoming customer inquiries via email
- Categorize requests based on urgency and type
- Deliver prompt, professional, and accurate responses using templates or personalized communication
CRM & Data Management
- Maintain and update customer records in the CRM system
- Ensure all customer interactions are accurately logged
- Uphold data integrity and consistency across records
Invoicing & Order Processing
- Convert estimates into accurate invoices
- Communicate billing details clearly to customers
- Ensure alignment between quotes, invoices, and records
Process & Workflow Execution
- Follow structured workflows, SOPs, and internal documentation
- Take appropriate action based on customer requests
- Escalate complex issues when necessary
- Maintain efficiency and consistency across daily operations
Requirements
- 2–5 years of experience in administrative, operations, or customer service roles
- Strong written communication and email management skills
- Hands-on experience with CRM systems
- High attention to detail, especially with invoicing and data accuracy
- Excellent organizational and time management skills
- Ability to work independently in a remote environment
- Strong problem-solving skills and ability to follow structured processes
What You’ll Do
- Act as the main point of contact for customer email communications
- Manage end-to-end customer inquiries
- Support business operations by reducing administrative workload
- Collaborate with the business owner and escalate complex issues when required
