About the Role
BruntWork is seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to its executive team across multiple business entities. This role is ideal for professionals with strong multitasking abilities, excellent communication skills, and experience managing executive operations in a fast-paced remote environment.
As the central point of coordination for day-to-day administrative functions, you will help executives stay organized, meet deadlines, and maintain operational efficiency.
Work Schedule
- Full-Time (40 hours per week)
- Monday to Friday
- 8:00 AM – 5:00 PM Eastern Time (New York)
Key Responsibilities
Administrative Support
- Manage executive calendars, meetings, appointments, and reminders
- Draft professional emails and follow-up communications for the CEO
- Prepare meeting agendas, notes, and summaries
- Create and format reports, presentations, and business documents using Microsoft Office tools
- Conduct online research and gather information for executives
- Organize and maintain electronic files on SharePoint following company procedures
- Arrange domestic and international business/personal travel bookings
- Coordinate weekly team lunch orders using Loop
Team & Operations Support
- Serve as the administrative point of contact for internal staff
- Support company meeting preparation and scheduling
- Send reminders, invitations, and updates for meetings and events
Insurance Compliance
- Track and collect vendor Certificates of Insurance (COIs) before expiration
- Upload and manage COIs in Procore
- Maintain accurate compliance logs and renewal records
- Coordinate with outsourced insurance consultants for subcontractor onboarding
- Support invoice filing and digital organization when needed
Timesheet Management
- Collect and organize employee timesheets
- Enter data into project tracking systems
- Follow up with team members regarding missing submissions
Requirements
- Minimum of 3 years’ experience in an Executive Assistant or Administrative Support role
- Strong organizational and time-management skills
- Excellent attention to detail
- Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams, PowerPoint, SharePoint)
- Ability to manage multiple priorities and deadlines independently
- Experience in construction, real estate, or property development is an advantage
