About the Role
We are seeking a highly organized and detail-oriented Scheduling Coordinator to support daily caregiver scheduling operations and ensure seamless client care delivery. This role is central to maintaining operational efficiency, caregiver engagement, and high-quality service outcomes.
The ideal candidate is proactive, communicative, and able to manage multiple priorities in a fast-paced environment while ensuring accuracy and continuity across all scheduling activities.
Key Responsibilities
Scheduling & Workforce Coordination
- Assign caregivers to client shifts based on skills, availability, and care requirements
- Communicate schedule updates, new assignments, and changes promptly to caregivers and clients
- Maintain accurate scheduling records in CRM systems (e.g., WellSky, ClearCare)
- Monitor open shifts and ensure timely coverage to prevent service disruptions
- Track caregiver hours and flag potential overtime for approval
Monitoring & Compliance
- Monitor missed or late clock-ins and follow up with caregivers immediately
- Review shift logs and verify discrepancies against scheduled hours
- Report payroll and billing issues to administration
- Ensure all records are accurate, updated, and compliant with company policies
Caregiver Engagement & Communication
- Serve as the primary point of contact for caregivers
- Confirm caregiver availability, preferences, and contact details regularly
- Conduct check-ins to support engagement and retention, especially within the first 90 days
- Foster a supportive and positive caregiver experience
Client Support & Service Quality
- Facilitate virtual introductions between caregivers and clients for first shifts
- Communicate care plans and expectations clearly
- Address client concerns and follow up on service quality issues
- Ensure continuity of care and rapid issue resolution
Administrative Support
- Maintain accurate caregiver profiles and documentation
- Log all scheduling activities and incidents in CRM systems
- Support reporting, KPI tracking, and operational analysis
- Assist with general administrative and coordination tasks
On-Call Support
- Participate in an after-hours on-call rotation when required
- Respond promptly to urgent scheduling or service issues
Requirements
Experience
- Minimum 1 year in scheduling, customer service, or administrative roles
- Experience in healthcare or home care environments is an advantage
Technical Skills
- Familiarity with scheduling tools (WellSky, ClearCare, or similar preferred)
- Strong proficiency in Microsoft Excel and data entry systems
Communication
- Excellent verbal and written communication skills
- Professional phone etiquette and responsiveness
- Ability to communicate effectively with clients and caregivers
